Instructions for presenters

The PhD Forum will take place on Friday, September 19, 2025, at the Radisson Blu hotel in Split, Croatia, the venue of the main conference. The address of the hotel is Put Trstenika 19, 21000 Split.

Step-by-step guide for presenters

Successful participation in the PhD Forum involves preparing a presentation of your doctoral research in the following three formats:

  • A 2-page extended abstract (short paper)
    Summarizes the core contributions, methodology, and results of your doctoral work.
  • A 4-slide presentation for a 2-minute pitch talk
    Offers a brief and engaging overview of your research to spark interest ahead of the poster session.
  • A poster
    To be displayed in the conference area and discussed during a dedicated poster session.

Step 1: Extended abstract for review

This step has already been completed and involved submitting a two-page extended abstract in response to the Call for Papers.

Authors of accepted submissions will be invited to submit a final version of their extended abstract, revised based on reviewers’ comments. This version will be included in the PhD Forum Book of Abstracts, to be published after the conference. The deadline to submit this version is September 5, 2025.

The final version should be submitted via EDAS, following the same process used for the initial submission.

Step 2: Poster

The authors of accepted submissions will be asked to prepare a poster, to be personally presented by the doctoral student at the PhD Forum poster session.

  • The poster should be printed on standard A1 size paper (594 x 841 mm), in portrait orientation.

Posters will be set up in the designated conference area. Staff at the registration desk will assist you with setup and provide directions.

Step 3: Live (pitch talk) presentation

The PhD Forum will begin with a series of fast-paced, 2-minute pitch talks by each student, followed by a poster session. The goal of the pitch talk is to briefly introduce your doctoral research to spark interest and encourage in-depth discussions during the poster session.

Each student will have a strictly timed 2-minute slot for their pitch talk. The talk should provide a concise overview of your research, highlighting its motivation, problem, methodology, and preliminary results.

Your talk should be supported by a slide presentation with a maximum of four (4) slides:

  • Slide 1: Title of the extended abstract, student’s name, advisor’s name, affiliations, and contact email addresses.
  • Slides 2–4: Research content: motivation, problem statement, methodology, and (preliminary) results.

Step 4: Poster session

During the poster session, attendees will have the opportunity to view the posters and engage in informal discussions with the PhD students about their work.

Best presentation award

All posters will enter the competition for the best presentation. The winners will be elected by popular vote.

The winners will be announced at the awards ceremony.
